2. Information We Collect

• Submission Content: All information you provide via our submission forms (e.g. text, documents).

• Event Registration and Lead Data: Information provided in connection with participation in the AI+X Summit, including registration details and contact information collected through event registration and badge scanning at partner or sponsor booths.

• Cookies & Usage Data: We use cookies and Google Analytics to collect non-personal usage data (pages visited, time on site).

3. How We Collect Your Data

• Forms: When you submit content (partners, speakers, program tracks) on our site.

• Event Registration and Badge Scanning: Through event registration platforms, including Eventify, and when participants voluntarily present their badges for scanning at partner or sponsor booths.

• Cookies & Analytics: We place cookies on your browser and use Google Analytics for traffic analysis.

4. Purposes of Processing

• Content Management: To store and display your submissions as part of our event archive.

• Event Organisation: To organise and manage the AI+X Summit and provide relevant event-related information.

• Partner and Sponsor Follow-up: Where participants voluntarily share their contact details with a partner or sponsor, for example by presenting their badge for scanning at the partner's or sponsor's booth, those details may be shared with that partner or sponsor for appropriate follow-up, including marketing communications about its products and services, where permitted by the information provided to participants and applicable data protection laws.

• Newsletters: If you opt in, to send you email updates about AI+X Summit events and news.

• Site Improvement: To understand usage patterns and improve website performance and user experience.

5. Third-Party Data Sharing

• Google Analytics: We share usage data with Google for analytics purposes.

• Event Organisers and Service Providers: We may share relevant personal data with event organisers and service providers where necessary to organise and manage the event.

• Partners and Sponsors: Personal data collected when participants voluntarily share their badge details with a specific partner or sponsor may be provided to that partner or sponsor for the follow-up purposes described in Section 4, subject to applicable data protection requirements. Partners and sponsors are responsible for their own subsequent processing of personal data in accordance with applicable data protection laws.

• Other Third Parties: We do not sell or rent your personal data.

6. Data Retention

• Submissions: Retained indefinitely as part of our documentation archive.

• Speaker Images: Deleted after the event or upon your request.

• Event Registration and Lead Data: Retained only for as long as necessary for the relevant event-related purposes or as otherwise permitted or required by applicable law.

• Analytics Data: Retained according to Google Analytics default retention (up to 14 months).

7. Your Rights under GDPR

You have the right to:

• Access your personal data.

• Rectify inaccurate or incomplete data.

• Erase your data, subject to legal retention requirements.

• Restrict or object to processing.

• Portability: Receive your data in a structured format.

Where applicable, you may also object to direct marketing at any time. To exercise your rights, contact us at summit@ai.ethz.ch. You may also contact the relevant partner or sponsor directly regarding its subsequent use of your personal data.

8. Cookies & Tracking

• Functional Cookies: To save your progress in forms.

• Analytical Cookies: Google Analytics to track site usage. You can disable cookies in your browser settings, but this may affect site functionality.

We implement technical and organizational safeguards to protect your data from unauthorized access, alteration, or destruction.
